Role Overview: What You’ll Be Doing 

 

Wheels Up is looking for a world-class Maintenance Invoice and Insurance Administrator in atlanta, GA to join our team of dedicated and passionate professionals, fueled by the most powerful brand in private aviation, as we continue our mission of democratizing the private aviation space through cutting-edge technology and innovative product and service offerings. 

 

Responsibilities

Your Key Responsibilities (Essential Functions) 

  • The Maintenance Invoice and Insurance Administrator reviews scheduled and unscheduled maintenance invoices, parts invoices, rental fees, chargebacks, supplemental billings, claims against hull insurance policies and claims against parts or service programs. This person must have familiarity with aircraft maintenance processes to ensure the billings received for services performed are within the terms of agreements or proposals or are otherwise normal and customary for the work performed.  The Invoice Administrator will interface with vendors when adjustments or credits are needed.  This person will work with other stakeholders in the approval process to timely manage invoices for payment within the credit terms agreed with the vendor. 
  • Invoices are retrieved from accounting mailbox and entered into Sharepoint for processing.
  • Details of each invoice are reviewed against proposals or estimates that were agreed prior to work starting.
  • Invoices for ad hoc maintenance are reviewed to ensure the charges being invoiced are normal and customary for the scope of work or are otherwise reasonable.
  • Forward invoices to other stake holders in the approval chain and collect their comments.
  • Notate any adjustments or credits that may be required.
  • Work with the vendor on credits or adjustments when billings do not meet agreed terms or pass the test for reasonableness.
  • Fully approved invoices are forwarded to accounting for payment.
  • Invoices with credits expected are forwarded with appropriate advisement on the agreed adjustments.
  • Fully approved and submitted invoices are then closed in Sharepoint.
  • Proforma Invoices requiring pre-payments will be expedited through accounting so as not to delay start of work or release of the aircraft.
  • Identify events that can be covered by hull insurance.
  • Track insurance event costs and provide data as needed to the Insurance Adjuster.

What You Bring to the Table: Education & Certification Requirements

  • Must hold a valid FAA Airframe and Powerplant certificate
  • Effective communication skills (both written and verbal) are essential
  • Creative and innovative thinking; Excellent expediting skill
  • Fluent with Outlook, Word, and Excel
  • Self-starter able to perform duties with limited supervision
  • Ability to multi-task effectively
  • Excellent integrity, ethics, and values
  • Work in a team environment
  • Ability to consistently achieve work under deadlines
  • Excellent interpersonal skills; ability to form positive working relationships with employees at all levels

What We Offer: Salary Range & Benefits 

 

At Wheels Up, we believe in fair compensation based on experience, skills, and qualifications. The salary for this role ranges from $68,000 to $102,000, depending on a variety of factors. We don’t typically start individuals at the top of the salary range; your place within the range is based on what you bring to the table. Additionally, you may be eligible for a discretionary annual incentive program, which rewards individual and organizational performance.
