Location: Remote, U.S. ONLY - Although fully remote, this role serves as a key support function for critical operational teams. This role requires authorization to work in the United States on a permanent basis. Sponsorship is not available for this position.

Responsibilities

Role Overview: What You’ll Be Doing

 

The Compliance Specialist directly supports the Corporate Safety, Security & Compliance Department by assisting with the administration of the Wheels Up Private Jets FAA and Department of Transportation (DOT) Drug and Alcohol Testing Program. This position reports to the Director, Flight Safety and supports the Designated Employer Representative (DER) in ensuring compliance with all applicable FAA, DOT, and company regulatory requirements.


In alignment with Wheels Up’s Safety Policy, this position supports the company’s commitment to regulatory compliance, operational excellence, and maintaining the highest standards of safety throughout the organization.

 


Your Key Responsibilities (Essential Functions)

  • Assist in the day-to-day administration of the FAA and DOT Drug and Alcohol Testing Program for all safety-sensitive employees
  • Assist with vetting during the on-boarding process of safety sensitive employees as per 14 CFR Part 120, 49 CFR Part 40, and FAA Part 135
  • Support the Designated Employer Representative (DER) with program administration and regulatory compliance
  • Coordinate pre-employment, random, post-accident, reasonable suspicion, return-to-duty, and follow-up drug and alcohol testing
  • Maintain accurate employee testing records in accordance with FAA and DOT record retention requirements
  • Process and maintain confidential testing documentation while ensuring compliance with applicable privacy requirements
  • Monitor employee eligibility and ensure required testing is completed within regulatory timelines
  • Coordinate with collection sites, Medical Review Officers (MRO), Substance Abuse Professionals (SAP), Third Party Administrators (TPA), laboratories, and consortium administrators
  • Process and respond to FAA-mandated drug and alcohol history inquiries for new hires and transferring safety-sensitive employees
  • Submit required reports and maintain documentation supporting FAA and DOT compliance
  • Assist with internal and external regulatory audits, inspections, and compliance reviews
  • Maintain compliance tracking databases and prepare reports for leadership as requested
  • Assist with the development, revision, and maintenance of Drug and Alcohol Program manuals, policies, and procedures
  • Provide guidance to employees and managers regarding Drug and Alcohol Program requirements and testing procedures
  • Research regulatory changes and assist in implementing program updates to maintain compliance
  • Process out bound FAA 40.25 Drug and Alcohol Inquiries in a timely manner
  • Partner with Human Resources, Flight Operations, Maintenance, and other departments to ensure timely resolution of compliance matters
  • Assist with additional compliance initiatives and special projects as assigned
  • IMPORTANT: Support a 24/7 safety-sensitive operation by maintaining consistent availability during scheduled working hours via Slack, Microsoft Teams, email, and phone to address critical compliance and operational matters, while providing on-call and after-hours support as needed during regulatory events, operational emergencies, and Designated Employer Representative (DER) absences.

What You Bring to the Table: Education & Certification Requirements


We’re looking for someone who has a unique mix of experience, skills, and passion for what we do: 

  • Bachelor’s degree in Business, Aviation, Human Resources, Safety, or related field preferred
  • Two or more years of experience in regulatory compliance, aviation, human resources, or program administration preferred
  • Experience supporting FAA or DOT regulated programs preferred
  • Working knowledge of 14 CFR Part 120, 49 CFR Part 40, and FAA Part 135 operations preferred
  • Experience maintaining confidential records and handling sensitive information
  • Strong organizational, administrative, and documentation skills
  • Ability to interpret and apply federal regulations and company policies
  • Must maintain a valid driver’s license
  • Position is remote with travel required; must reside near a suitable airport

  • Occasional travel required for meetings, conferences, or company events. This could involve the ability to sit on a plane or in a car for extended periods.
  • Ability to navigate different environments, such as visiting different offices or attending conferences

Communication:

  • Clear verbal communication skills for presentations, meetings, and discussions with stakeholders
  • Ability to read, analyze, and interpret business documents and data

Occasional Lifting:

  • While unlikely, some positions may involve light lifting (e.g., transporting documents or materials) or moving items for presentations, but this is rarely a primary responsibility in this type of role

At Wheels Up, we believe in fair compensation based on experience, skills, and qualifications. The salary for this role ranges from $75,000 - $94,000, depending on a variety of factors. We don’t typically start individuals at the top of the salary range; your place within the range is based on what you bring to the table. Additionally, you may be eligible for a discretionary annual incentive program, which rewards individual and organizational performance.
